Job Description Based in Sherwood Park, Alberta. The Executive Assistant provides administrative support to the Executive Team, and then to the Senior Management Team and HSE Department as time permits. To be successful in this position, the candidate must be results oriented and demonstrate the ability to effectively prioritize workflow.
Responsibilities

Assistant to Executive Team:

  • Remain aware and update Executives' schedules
  • Promptly screen and distribute incoming mail, responding where appropriate
  • Provide acurate word-processing support by composing and/or editing a variety of documents. This inlcudes many highly confidential correspondence, memoranda, contracts, presentations, and proposals
  • Assist with organizing meetings and/or special events including annual Christmas parties, meetings, etc. Arrange for catering, locations, distribution of information with respect to the event and any gifts or handouts for the event
  • Develop and maintain well organized filing system that permits easy reference and rapid retrieval of information
  • Special organizational and research projects as directed
  • Arrange travel, hotel, and car reservations and prepare itinerary, both corporate and personal for the Executives
  • Responsioble for continuously expanding and updating professional knowledge
  • Perform additional functions as directed or assumed on personal initiative
  • Responsible for administering the annual Years of Service Awards program
  • Records and distributes minutes for the weekly management meeting
  • Acts as a backup to the Receptionist during absences

Assistant to Senior Management Team:

  • Provide accurate word-processing support by composing and/or editing a variety of documents. This includes many highly confidential correspondence, memoranda, contracts, presentations, and proposals
  • Assist with organizing meetings and/or special events including meetings, etc. Arrange for catering, locations, distribution of information with respect to the event and any gifts or handouts for the event
  • Special organizational and research projects as directed
  • Arrange corporate travel, hotel, and car reservations and prepare itinerary

Assistant to HSE Department:

  • Compile and distribute monthly statistics report
  • Data entry of safety inspections
  • Document control for HSE documentation
  • Filing of safety meeting minutes
  • Distributon of safety alerts
  • Annual updating of MSDS book
Qualifications

Required education, knowledge, qualifications, and experience:

  • Educational and experience preference is high school graduate with at least five years of Executive Assistant experience and good grasp of English usage, spelling, grammar and punctuation
  • Knowledgeable and proficient use of personal computer
  • Advanced skills with Microsoft Word, Excel, PowerPoint, and Outlook

Required skills and abilities:

  • Candidate must be very organized and able to prioritize tasks
  • Ability to perform administrative duites with deliberate speed and accuracy without immediate and constant supervision
  • Candidate must be friendly, personable and able to build harmonious working relationships with clients, co-workers and general public
  • Ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must
